The fundamental form of a workspace in Microsoft Teams has three components: they workspace (such as the SharePoint file hosting), which functions like a permissions boundary channels, which focus and divide attention areas and tabs, which surface the important thing artifacts, data, and apps utilized by team people. Consider channels as the attention boundary and also the Team as the membership (that has access) boundary. More about private channels and just how that is necessary later.

Microsoft Teams Workspace Basics

A Group (uppercase) workspace may be the fundamental unit of team (lowercase) and group (lowercase) work, and everybody permitted in to the workspace will get use of everything within the workspace, except for private channels.

Security over use of a workspace is controlled with a Microsoft 365 Group (formerly Office 365 Group)—if you’re in the audience (uppercase) you’ve access and when not, you don’t—unless the audience is available to all inside the Microsoft 365 tenant.

Within every Team workspace, channels are utilized to divide attention areas—such as by subject, by project, by client, by geography, by type, and so forth.

And within each funnel you will find tabs, for enabling conversation inside the funnel and surfacing relevant sources, systems, information, and documents.

The minimum viable Team workspace has one funnel (known as General) and 2 tabs—one for conversations and something for file discussing. The file-discussing tab is really a SharePoint surfaced within Teams, and also the user can visit the full SharePoint site interface from that Team.

For Team workspaces with multiple channels, each team member can pick which from the channels (attention areas) they would like to be notified about.

Private Channels

For that first 3 years of their existence, use of a group workspace in Microsoft Teams gave use of all channels and all sorts of tabs. But because Teams acquired wider adoption across many industries and organizations, private channels grew to become probably the most requested feature on Microsoft User Voice.

Organizations needed greater than just the soft attention limitations of the funnel inside a given team workspace. Channels themselves also needs to be capable of enforce a burglar boundary.

While another team workspace might be produced for any subset of users, that approach doesn’t always fit the job dynamics of the Team, and also over time can result in fracturing participation across too
many Teams.

Microsoft used its annual Ignite conference in November 2019 to produce private channels to the scene, where membership could be defined at both workspace level and also the funnel level. Membership web hosting channels is enabled for any subset from the overall team workspace membership list.

While channels segregate attention, because the communication boundary, inside a team workspace, the actual jobs are done around the tabs.

Tabs host the conversation, provide use of a summary of relevant files, display a thing document or Stand out spreadsheet for co-authoring, show a Kanban board from Microsoft Planner or Trello for coordinating current work, plus much more.

By design, every funnel requires two core tabs for conversation and file access, but beyond individuals two, you will find options in abundance.

The Conversation tab separates conversations into different streams, instantly structuring the conversational dynamics into topics, responses, and replies, and removing forever the mess of Reply All in email.

The Files tab stores all the documents, presentations, spreadsheets along with other file types connected using the funnel, offering a built-in experience for file discussing (again with SharePoint because the backend).

The opportunity to display a thing document inside a tab provides integrated co-authoring inside the team workspace, taking out the burden and inefficiency of co-authoring through email attachments.
