Similar to the fight between your titular figures in Batman v Superman, the title of the piece is misleading – although a typical misconception.
Without offering any movie spoilers, things i can tell is the fact that despite perceptions that Office 365 Groups and Teams are opposing solutions, in fact they’re really complementary. Actually, both of these have to interact as ever to defeat the evils of emails and boring file shares.
When Microsoft Teams premiered into Public Preview in November 2016 there is lots of confusion because this Slack competitor appeared to leave nowhere. One factor was obvious though – Teams sits inside the Office 365 Groups substrate.
Today, rather of pitting Office 365 Groups versus Teams, I will do my favorite that will help you untwist the merchandise names and know how we’ve got the technology really coexists inside your tenant.

Dictionary.com defines an organization as (noun) “any collection or assemblage of persons or things.” Ok great, is sensible. Which Groups are made around Office 365 technologies so let’s give them a call Office 365 Groups.
But another definition is:
So an organization could be someone. Let’s see where it goes with Teams.
Dictionary.com defines a group as (noun) “a quantity of persons developing among the sides inside a game or contest”. Ok, we’re not playing a game title or contest so let’s consider the next definition: “a quantity of persons connected in certain joint action”.
First got it, but why do known as “Microsoft Teams” when it’s only accessible as part of Office 365? Using the same logic above with Groups shouldn’t it’s known as “Office 365 Teams”?
From the user perspective, while “group” and “team” have different meanings, the intent seems is the same factor. Or perhaps is “Groups” much more about several technologies, whereas “Teams” is much more in regards to a group of people?
I do not know for several. But semantics and meanings aside, what we should do finish track of is a few key scenarios that should be understood.
Like that which you read? Make sure to sign up for our blog to remain in the fold for those things Office 365, SharePoint and much more!
Use Situation 1: Come with an existing Group and wish to produce a new Team
If several users has already been using Office 365 Groups, then they have:
- Exchange mailbox and calendar
- File storage (operated by SharePoint)
- OneNote notebook
- Planner (only one)
Your house Bob wants to produce a Microsoft Team. Bob can easily make one and fasten it for an existing Office 365 Group.
However, the combination between your new Team and also the existing Group has some gotchas:
- Teams don’t show existing file storage in the Group unless of course you set a SharePoint tab, that is confusing and adds extra tabs as you have one for Files.
- Teams don’t display the present Groups’ OneNote content, just the sections which were produced for every funnel
- The present Planner already within the Group isn’t accessible whatsoever in the Teams interface
- New Planner tasks produced in separate channels inside the Team don’t appear in Groups or Planner
Use Situation 2: Produce a Team without connecting it for an existing Group
What goes on if a person results in a new Team but doesn’t hook it up for an existing Group? This could very easily happen as Teams are invite-only, and in contrast to Yammer groups, you cannot browse the other Teams might already exist. For instance, Bob is part of the “Sales” Group, but Sally isn’t part of that Group. Being unsure of the Group exists, Sally is out and helps to create a “Sales” Team. But simply like a workplace 365 Group is created when a user results in a Yammer group, each new Team also will get a workplace 365 Group.
What this means is Sally has unintentionally produced a brand new “Sales” Group that serves an identical purpose, and sure includes a similar name towards the “Sales” Group Bob had been in.
That’s an issue as we’ve potential duplication and naming confusion.
The only method for this would be to delete Sally’s Microsoft Team and subsequent Office 365 Group, and rather produce a new Team that’s intentionally attached to the existing Group Bob is part of.
Phew, exactly what a mouthful! But let’s take this one step further…
Let’s suppose Sally’s new Team/Group wasn’t detected straightaway and transported up with adding content, conversations, and Team people! It might be confusing for that users due to the duplicate workflow, after which someone eventually needs to cleanup the mess to maneuver the file content out of this Team to another Team. However we encounter a problem because there’s not a way at this time emigrate Team chats!
Even when we obtain through everything and have great results correctly – there’s been lots of confusion already separate the truth that Teams present another interface for working.
Don’t forget continue lower that rabbit hole for the time being, and rather let’s consider the third, and considerably simpler scenario…
Use Situation 3: Produce a Team and just a group
This really is significantly simpler for Bob or Sally to complete compared to previous scenarios as things are new and clean, which means you don’t need to bother about duplicating existing content.
When Microsoft released Teams, they pressed it as being a simple shift from how organisations and groups (err… teams?) of users work. It‘s the chat-based, fast-paced option to Exchange emails. It’s highly likely that individuals who just need a group and just a group are the types of users that do not take care of emails.
This leads me to confess that I’ve produced another misleading title. As we’ve already covered, whenever you produce a Microsoft Team additionally, you will always have an Office 365 Group unless of course it’s deactivated.
Wait… what? I’m trying to escape group email, that is why we’re using Teams to begin with! The shared Team OneNote, Planner, calendar, and file storage seem sensible, what shall we be supposed related to this mailbox? We use Teams to speak for everything!
Best Situation Scenario
In fact developing a new Team is the greatest and easiest approach to take, but it is not really possible if you’ve already invested amount of time in building your Office 365 Groups. If, however, the quantity of purchase of your workplace 365 Group content is that not great, you are able to shuffle several things around to create that actually work.
Within my personal expertise, I’d three existing Groups with OneNote content, files, and emails. In just certainly one of individuals three instances was there any Planner content. All I merely needed to do for the other content was:
- Slowly move the files towards the appropriate funnel folder produced
- Slowly move the OneNote pages towards the appropriate section produced
- Determine how to handle the Planner tasks and buckets
Fortunately there weren’t that lots of therefore we by hand re-produced them.
But, it is not always practical inside a bigger organisation or with users who’re less knowledgable.
It’s important when thinking about the deployment of Office 365 Groups versus Teams that people think about it before “going viral.” While these technologies allow finish users to merely press a control button and obtain going, we have to bare this conduct under control without stifling it.
We have to ensure these key areas are covered:
- User education
- Data management (duplication and versioning)
Rather of pitting Office 365 Groups vs Teams, the 2 together provide a very effective disruptor in the manner make certain every day. However, we want think them through to make sure that the disruption results in a positive outcome and improved consumer experience, not confusion and frustration.
Like a takeaway, we’ve come up with a 1-sheet of points to consider when moving out Teams.
